        Brief Job Overview/Summary

        Stockton University’s Office of Event Services & Campus Center Operations is seeking a highly organized and customer-focused Program Assistant to support the administrative and operational needs of the department. This position provides front-line customer service, coordinates office operations, supports event contracting and billing processes, and supervises student assistants. The Program Assistant plays an essential role in maintaining accurate documentation, ensuring smooth workflow, and delivering responsive service within a busy, service-oriented office.

        Descriptions of Essential Duties/Responsibilities:

        • Under the immediate supervision of the Executive Director of Event Services and Campus Engagement, the Program Assistant is responsible for the following:
        • Provide administrative support for the staff of the Office of Event Services and Campus Center Operation with focus on event services and contracting functions. 
        • Provide front line customer service. Assist with the coordination of office operations; route inquiries, distribute work assignments, and maintain effective communication within the unit. 
        • Hire, train, onboard, supervise, and evaluate student assistants. Review student web-time for accuracy and generate reports. 
        • Provide administrative support to the Assistant Director of Event Services, including preparing correspondence, maintaining contract and billing files, initiating billing requests, processing disbursements, collecting and tracking insurance documentation, and compiling data for financial reporting and record keeping. 
        • Assist with data entry to support the configuration, maintenance, and daily operation of the 25Live event management system, including assisting with the pricing module and user account administration. 
        • Complete data entry for event scheduling and produce system reports. 
        • Order, track, receive, and reconcile receive supplies, purchases, and rentals. 
        • Organize and track inventory of office and event-related equipment. Coordinate the delivery and return of items including but not limited to centerpieces, flags, banners, easels, and signage. 
        • Assist with reviewing and disseminating printed postings and ensure posting areas are properly maintained. 
        • Maintain office coverage and time-off calendars. Conduct initial review of web-time entries for completeness and accuracy. 
        • Assist with customer service and onsite event management at events as assigned. 
        • Assist and provide back-up coverage for other unit administrative staff as needed. 
        • Provide other support and duties as assigned by the Executive Director of Event Services and Campus Engagement and/or the Assistant Vice President of Student Living and Learning. 

        Required Qualifications:

        • Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester-hour credits are equal to one (1) year of relevant experience.
        • Four (4) years of professional position-related experience or possession of a bachelor’s degree from an accredited college or university or possession of an associate's degree; and two (2) years of professional position-related experience.
        NOTE: "Professional experience" refers to work that is analytical, evaluative, and interpretive; requires a range of basic knowledge of the profession's concepts and practices; and is performed with the authority to act and make accurate and informed decisions.

        Preferred Qualifications:

        • Experience working in a higher education, event services, or customer service environment.
        • Familiarity with purchasing, billing, invoicing, or financial recordkeeping processes.
        • Demonstrated proficiency with Microsoft Excel and/or Ellucian Banner.
        • Knowledge of event management or scheduling systems (e.g., 25Live or similar platforms).
        • Experience hiring, training, or supervising student or hourly staff.
