Brief Job Overview/Summary

The Professional Services Specialist 3 plays a vital role in supporting the Office of the Provost by managing complex administrative and financial responsibilities in a dynamic, high-level academic environment. This position requires exceptional organizational skills, attention to detail, and the ability to respond quickly and reliably to evolving priorities. As part of a fast-paced office that supports senior academic leadership, the successful candidate will demonstrate sound judgment, discretion, and a commitment to service excellence.

Descriptions of Essential Duties/Responsibilities:

• Oversee and manage all aspects of the Academic Affairs Administration budget, including monitoring expenses, encumbrances, and available balances.
• Execute budget transfers, complete travel documentation, process reimbursement reports, and reconcile departmental purchasing cards (pcards).
• Oversee inventory and supply orders for the Office of the Provost.
• Process service agreements and all financial documentation related to Academic Affairs operations.
• Serve as the primary liaison between the Office of the Provost and Legal, Disbursement Services, Procurement, and Contracting.
• Coordinate with staff to support events hosted by Academic Affairs, including contracts, honorariums, travel, and catering arrangements.
• Facilitate travel arrangements for the Provost, VP for Academic Affairs, and staff, ensuring adherence to University policies.
• Maintain and update the financial tracking spreadsheet for all Academic Affairs funding sources.
• Review and support Academic Affairs Compass Fund initiatives by monitoring budgets and providing guidance to school budget processors.
• Serve as a key member of the Faculty Load and Compensation (FLAC) team.
• Provide comprehensive reporting and data analysis on departmental spending and financial trends, including multi-year comparisons.

Required Qualifications:

• Bachelor's degree from an accredited university
NOTE:
• Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester-hour credits are equal to one (1) year of relevant experience
• Six (6) years of professional experience in different aspects of administration and business practices; including design and implementation of policy and procedures, vendor service contracts and improving and updating management practices
OR
• Possession of a bachelor's degree from an accredited college or university; and two (2) years of the above-mentioned professional experience
OR
• Possession of a master's degree; and one (1) year of the above-mentioned professional experience
NOTE:
"Professional experience" refers to work that is creative, analytical, evaluative, and interpretive; requires a range and depth of specialized knowledge of the profession's principles, concepts, theories, and practices; and is performed with the authority to act according to one's own judgment and make accurate and informed decisions.

Preferred Qualifications:

• Minimum 3–5 years of experience in budget management, financial analysis, or administrative support
• Prior experience in higher education preferred
• Solid understanding of budgeting, financial reporting, and reconciliation
• Proficient in Excel and financial systems; Banner experience a plus
• Detail-oriented with strong accuracy in financial documentation
• Skilled at managing multiple priorities in a fast-paced environment
• Strong written/verbal communication and interpersonal skills
• Service-focused with a proactive, solution-driven approach
